Which documents are needed in Export – Import Business?

People are afraid of EXIM Documentation. It is because there are many documents falling under title of Export Import Documentation. At the end of shipment, it results in a big bunch of Import Export Documentation to manage. In hassle, many discrepancies remain in exim documentation process.

Since list of exim documentation is exhaustive and long, people are prone to err. For simplicity, we will explain in brief the list of documents essential in export – import business:

List of Documents in Export.

First of all, let us list the export documents:

  1. Invoice.
  2. Packing List.
  3. Shipping Bill (Different than import).
  4. Bill of Ladding known in short B/L.

List of Documents in Import.

Similarly, there are few common documents in import as under:

  1. Invoice.
  2. Packing List.
  3. Bill of Entry (Different than exports).
  4. Bill of Ladding known in short B/L.

These are three primary documents. Even more are there but they are consignment specific or product specific.

Similarly, some other documents in Export.

  1. Test Report of exporter.
  2. Quality Certificate from any third party inspection agency.
  3. Consular or legalized invoice.
  4. Bank Realization Certificate / BRC.
  5. Freight Receipt or Freight Invoice.
  6. Mate Receipt.
  7. SDF Form. (Statutory Declaration Form).
  8. Insurance Certificate.
  9. Shipping Advise or Shipment Advise.

Some other documents used in Import:

  1. Bill of Entry which is given by customs department while import.
  2. Test Certificate of overseas exporter.
  3. Third party inspection certificate.
  4. Insurance certificate.

In case of Export documents, few documents can be said as pre-shipment documents. While few among them can be categorized as post shipment documents.

Pre-Shipment Documents (in EXIM Documentation)

Pre-shipment documents are the the documents which we make before the shipment takes place. These are:

  1. Customs Invoice.
  2. Packing List.
  3. SDF (Statutory Declaration Form).
  4. Internal Test Report.
  5. Third party Inspection Report.

Post-Shipment Documents (in Import Export Documentation)

Likewise, post shipment documentation contains below documents:

  1. Commercial Invoice.
  2. Packing List.
  3. Insurance Certificate (Credit Insurance & Marine insurance both).
  4. Shipment Advise or Shipping Advise.
  5. Consular or legalized invoice.
  6. Bank Realization Certificate / BRC.
  7. Freight Receipt or Freight Invoice.
  8. Mate Receipt.

Set of these documents in Export or Import is known as BILL. This bill is to be submitted finally to Negotiating bank after export takes place.

In case of Import documentation also, there are few as under.

    What is SDF form and Mate recipt?

      SDF form is Statutory Declaration Form. It is a form to be filled by an exporter in pre-shipment stage i.e. before the shipment is taken out of your premises. It is the declaration cum liability type of form document for an exporter for his / her few of statutory post-export compliances of remittance in which he / she accepts it subject to which he / she is given approval. SDF form is given to the CHA / Customs House Agent who with other pre-shipment documents submits it to the customs for clearing his / her cargo for exports. FOR YOUR KNOWLEDGE AND REFERENCE this SDF form now a days is not a necessary document to be submitted and it is no more required. But, since as a customary practice if any CHA asks, without much debate, just give it; but in true term now it is not needed.

      About Mate Receipt now. Mate is type of an officer like Captain of the ship / vessl who is subordinate to the captain. Upon receipt of the cargo, Mate Receipt is submitted / prepared by him based on which the Bill of Ladding is prepared.
